Quill, renowned practice management software and outsourced legal services provider, has today announced the newest addition to its outsourcing portfolio – a digital post room service called Quill Post.

About Quill Post

Available to businesses in any sector, Quill Post allows users to manage their inbound and outbound post in a more sophisticated way by moving from a traditional post room and physical paper to a digital mailroom requiring only an email inbox and virtual printer.

“We are very excited about our latest outsourcing service which gives clients yet another method of running an efficient, paperless business, using the latest document scanning, document capture and postal payment technology,” said Quill’s Client Services Director, Tom Wormald.

“With Quill Post, companies gain complete back-office support, adding to our existing legal cashiering, payroll and typing offers. Our combined services are ideal for organisations with minimal internal administration resources or even none at all.”

How Quill Post works

For inbound post, mail is redirected for Quill to securely open, sort, scan and deliver daily to the relevant recipient’s email inbox. Once weekly, the physical post is couriered to each client’s forwarding address for filing and audit trail purposes.

For outbound post, Quill’s virtual printer is set up as an option on every client site’s drop-down printer’s list. To send post, clients simply select the Quill printing option, attach any enclosures, and choose first or second class. Quill then prints and mails the post on each client’s behalf.

“Every step of the way, there are best-in-class security standards,” added Tom. “From technology that’s subject to encryption, access levels and other robust security controls to staff who are thoroughly vetted and undergo strict induction training, clients can rely on our safeguarding, confidentiality and data protection guarantee.”

Benefits to Quill Post clients

Companies who have signed up for Quill Post claim time and cost savings, enhanced security, and paperless and flexible working benefits. During the turbulent period of 2020 and 2021, another advantage realised is business continuity and overcoming life’s unpredictabilities.

Richard Antipas, Director at Axis Professional and a Quill Post user, stated: “When lockdown happened, myself and the other directors took turns going into the office to open, scan and distribute the post. This daily task consumed up to two hours. For help, we turned to Quill Post. We’re saving salary overheads and ten hours a week of fee-earning time. It’s genuinely brilliant.”

Digital transformation support

“Firms of all types and in all industries are becoming more digital as a means of future-proofing,” concludes Tom. “Quill Post further assists these firms in modernising processes, embracing new technology, turning to outsourced services and supporting hybrid working. It’s absolutely the way forward.”
